Graduate Faculty Status


Graduate faculty status enables service on graduate student supervisory committees at UF.

Graduate faculty status empowers University of Florida faculty members to engage in the distinctive feature of graduate education — mentoring students through scholarship and research that leads to completion of a thesis or dissertation.

Graduate faculty engage in that decisive mentorship as part of a graduate student’s supervisory committee, in one of three roles:

  • As chairs or co-chairs, in academic units in which they have graduate faculty status.
  • As members, in any academic unit.
  • As externals, in any academic unit in which they do not have graduate faculty status.

When faculty are hired as tenured or tenure-accruing at UF, they automatically get graduate faculty status in their home academic unit (the one that hired them). The Graduate School runs regular new hire updates drawn from UF Human Resources data to add new automatic graduate faculty members to GIMS (Graduate Information Management System).

When graduate faculty status is not automatic — because faculty members are non-tenure-accruing or seek graduate faculty status outside of their home academic units — the nominating unit must request graduate faculty status through the Graduate School. To do so...

For that process, you’ll need...

  • The nominee’s up-to-date curriculum vitae (CV) with awarded degree(s), current UF title, work address, telephone number, and email address.
  • The results of your graduate faculty’s vote on the request, in which “yes” votes must be at least two thirds (66.7%) to proceed.
  • An evaluative statement from your unit’s chair or director, explaining what expertise qualifies the nominee for mentoring graduate students in its field.
  • A UF Human Resources courtesy or affiliate appointment to your unit for the nominee (if applicable).

After submission and processing, the Graduate School will email a decision to the nominating unit.

Graduate faculty who retire, resign, or are terminated may finish out service on existing supervisory committees for one year past UF employment if they obtain a courtesy faculty appointment and the approval of the student’s academic unit. Retirees must comply with UF’s Post-Retirement Volunteer Services policy:

Courtesy appointment requests are to be initiated with the academic unit’s Human Resources liaison. All courtesy faculty appointments must comply with UF courtesy appointment policy:

Once the courtesy appointment and academic unit approval are in place, the unit must then send an email to the Graduate School with the faculty member’s name, UFID number, courtesy appointment verification, and the semester and year through which the graduate faculty status extension is going to run. Send those emails to graddata@ufl.edu.
