Submission Process

Submit Your Degree Application

Submit your degree application via ONE.UF as early as possible — it can take a day or two to feed into our system.

Defend Your Thesis/Dissertation

Complete your oral final defense of your thesis or dissertation by deadline. Once you have, your degree program must submit your final exam form into SIS (Student Information System).

Submit Your Thesis/Dissertation

After your successful final defense, submit these items through GIMS:

• Your complete, fully formatted thesis or dissertation as a PDF file
• Your UF Publishing Agreement
• Your ETD signature page (submitted by your degree program)

Doctoral students, you’ll also need to submit:

• Your ProQuest Publishing Agreement
• Survey of Earned Doctorates (SED)

After submission, our editors will send you an email noting any changes needed. Please follow up on it promptly to get approved by the Final approval deadline, as this can impact whether or not you graduate.

Achieve Final Approval

If you get a final approval email from our editors, your submission is complete.

If they send you an email noting changes needed to your document, meet the deadline to achieve final approval, or else you will not graduate.

If you don't get a final approval email, your submission process is not complete. Carefully monitor your email for messages from our editors.

Attention, Project in Lieu of Thesis Students!

Your deadlines are set by your degree program and differ from the Graduate School’s thesis and dissertation deadlines. Please follow up with your degree program!

And What If You Miss Deadlines? Pre-Term Approval

If you didn’t meet all the deadlines for your intended semester of graduation, Pre-Term Approval may be an option. If you complete everything by the Pre-Term Approval deadlines, you can graduate at the end of the next semester without having to register for course credit.

For example, if you miss Fall Semester deadlines, but you complete everything by the Spring Pre-Term Approval deadlines, you will graduate at the end of the Spring Semester without having to register for Spring Semester classes.

Two cautions:

• The Pre-Term Approval option means you won’t be eligible for a graduate assistantship or fellowship that semester.
• Units outside the Graduate School may have different final semester registration requirements — such as for international students on visas or students on funding. Check with them for their specific requirements.

To qualify for Pre-Term Approval, you must...

• Have met the registration requirements for your original graduating semester.
• Have already met all other degree and administrative requirements by the deadlines for that semester.

To obtain Pre-Term Approval status...

• Submit a Pre-Term Approval application by deadline.
• Submit a degree application for your new graduating semester.
• Complete your oral final defense before submitting your thesis/dissertation to the Graduate School.
• Submit your completed thesis/dissertation by deadline.
• Receive Final Approval from the Graduate School by deadline.
